[Reports - Reviews] Exporting data from a Review to Excel

Here you can learn how to see who har already answered his/her review or even download all the answers to an Excel sheet

To start this process, first go to the Review that you want to analyze and click on its Settings (1, gears icon on the right side):

 

There are three different report models:

 

Report 1: Export Review answers

Inside the Review's settings, you will see a button called "Export Review answers" (2). Simply click on it and the file will be downloaded:

 

This is the most basic of the three reports. You will be able to find every single information about the Review and analyze any way you want. The following image gives you a preview of this report:

 

Notice that each row represents a question from an evaluation in this Review (unnecessary columns were hidden).

 

If you want to see all the information in an evaluation, just filter out the columns "Reviewer's Name" and "Reviewee's Name". This way you can find all the data pertained to the reviewer and the reviewee, their relationship, grades and commentaries for each question and the evaluation's status.

With this report you can also check if the reviewer finished all his pending evaluations. To do this, just filter out the reviewer's name and check the column "Reviewer's Percentage".

 

  • A percentage below 100% means that the user still needs to submit that evaluation (he/she can still edit that evaluation and has not finished it yet);

  • 99% indicates that he/she finished his/her evaluation (filled everything that was asked) but hasn't submitted it yet;

  • Any percentage under 99% indicates that there are unfinished questions on the evaluation.

Report 2: Export Participants

The second report that you can download is the one with the participants.

 

To get it, you need to go to "Settings" again and click on "Participants" on the left side bar. On the screen that shows up, click on the "More actions" button on the right side of the screen, then on "Export participants":

 

One of the main functions of this report is to monitor the progress of your Review.

 

Tab "Overview"

 

On the first tab of the Excel sheet, you will see a summary of the Review's progress:

 

  • Not started: the evaluations (reviewer and reviewee pairs) that haven't had any answers filled;

  • Started: evaluations that have an answer percentage between 1% (initiated) and 99% (with answers still missing);

  • Completed: evaluations that have all of their questions answered but that were not submitted by their reviewer. Answers can still be edited on this status.

  • Submitted: evaluations that were submitted and that cannot be edited anymore. The administrator can reopen it or enable it on the Review's settings.

Tab "By reviewee"

 

On the second tab of the Excel file, you will find all the evaluations (reviewer x reviewee pairs) from the reviewee's point of view. Let's check this by using an example:

 

On the image above, we can see that the Qulture Admin is the reviewee and the reviewer on different evaluations:

 

  • The Qulture Admin's evaluation of Qulture User is a "Direct report" type because Qulture Admin is the leader of Qulture User on the platform;

  • The Qulture Admin's evaluation of André Varela is an "Others" relationship because no one is the leader, direct report or a peer of the other.

  • The Qulture Admin's evaluation of Qulture Admin is a "Self-review" type because he is evaluating himself.  

On the "Progress" column, you can see the progress percentage of the evaluations. On this case, the Qulture Admin hasn't started his own evaluation yet, so it's at 0%. He did finish his evaluations and submitted the ones about André Varela and Qulture User, that's why they are at 100%. 

 

Tab "By reviewer"

 

The third tab follows the same logic of the previous one. What changes is that, instead of seeing things by the reviewee's point of view, now we see it by the reviewer's:

 

On the image above, we can see all the evaluations that the Qulture Admin and the Qulture User have to complete. We can also tell that the Qulture Admin only needs to finish his Self-review while the Qulture User has two evaluations at 0%, meaning that he hasn't started them yet.

Report 3: Export the Team Results

The third report that you can download from the Reviews feature is the team results one. To get it, just go to Team Results and click on the icon "export team results in xlsx format". 

 

On this report you can find the same data that you find on the "Team Results" page. Because of this, for each reviewee, from the column I and on you will see the different grades that he/she received: final grade with and without calibration, the average with and without the self-review, and the grades from the self-review, the leader, direct reports, peers, colleagues and others:
