To perform data import, it is important to request the release of the import screen to the CSM responsible for the account.
Within the Qulture.Rocks Review product, we have the ability to use the Box feature to visualize the positions of employees, as well as perform position calibrations. The specific model used will depend on the scenario and internal needs of your organization, which is why we have various options to facilitate the position update process within the Box.
In this article, we will provide detailed instructions on how you can import positions while considering individual employee grading or goals within the Box.
Important assumptions for performing the import
Before we begin explaining the process of filling out the import file, it's important to establish some assumptions:

What will be the format of the box used (4-box, 9-box, 16-box, X-axis only, etc)?

What will be the limits (intervals) for each quadrant?

What will be the percentage ranges for OKRs (goals) for each quadrant?

What topics will be considered for each axis (X and Y)?

Correctly registered email or CPF of the employee.

The employee needs to be active in the employee database. The "Enable automatic update of box positions" configuration should not be enabled for this import.

The box must be configured/created in the review for you to perform any import.

The review should not have the "hide review" icon enabled.

To import the percentage of "goals" as box positions, you must have a fictitious topic in your review. It doesn't need to have registered questions; it just needs to be created and have a weight of 1 in the cycle.

When creating a Box in the Qulture.Rocks platform, it's important to note that each quadrant represents a position number, which can vary based on the number of quadrants in your Box.

How to fill in the spreadsheet?
The spreadsheet consists of 5 columns, which are:

Column A: Employee's email;

Column B: X-axis position;

Column C: X-axis score;

Column D: Y-axis position;

Column E: Y-axis score.
How to import on the Qulture.Rocks platform?
With the spreadsheet filled in with all the required and optional fields, you need to make the Sheets spreadsheet public and editable for everyone.

Click on "Share".

Set the access level to "Anyone with the link".

Set the role to "Editor".

Click on "Done".
⚠️ The link will be available on the same screen to make it easier to copy when needed.
In the import screen, we will paste the link in the indicated field, select the name of the box to be imported, and save it.
🛑 If you are adding people who are outside the box, it is important to check the option "Create participants who are not in the box."
If the spreadsheet does not have any errors, when it is completed, the status will appear as "Done" If there is an error, the platform will indicate where it is located.
How to know which error occurred in my import?
The platform displays the errors directly on the Import screen, making it easier to identify issues in the spreadsheet. To fix the errors, you will need to investigate in more detail what needs to be corrected in the spreadsheet. It is recommended to check the error messages provided by the platform and review the corresponding fields in the spreadsheet. Make sure to correct any incorrect or missing information to ensure a successful completion of the import.
In the provided example, the email entered is incorrect or has not been added to the platform, resulting in the user not being found.
It is crucial to thoroughly review the spreadsheet and correct any identified errors before proceeding with the import. As long as errors exist, no data will be imported into the platform. Please feel free to import as many times as necessary to rectify any issues.
FAQ
1) Can I import positions and scores when I have a box with only the X-axis?
Yes, if your box does not have the Y-axis, you can exclude columns "D" and "E" from your import copy, keeping only the columns for "X-axis Position" and "X-axis Score".
2) I use a different cloud storage other than Google. How can I import the file if I don't have the Google Sheets link?
Currently, we do not have integration with other cloud environments for this type of action. If you are unable to have the file in Google Sheets, you will need to request assistance from the chat team to perform the import for you. Simply provide the complete file and specify which assessment you would like to import the questions to.
