Would you like to view your 1:1s directly on your calendar? Let's see how to do it!
How to sync?
It's possible to sync the Qulture.Rocks 1:1s with your personal calendar. To perform synchronization, follow these instructions:
1. Click on the “Synchronize 1:1s with calendar” button at the top of any 1:1 product page;
2. Copy the link, according to the calendar platform used (Google Calendar or Outlook);
3. Add the link on the calendar platform used, as explained in the modal.
Which calendars are supported?
Today, Google Calendar and Outlook are supported. The explanation of how to do it on each platform is indicated in the synchronization modal itself.
How it works?
Synchronization works like a new agenda added to your calendar and thus, you will be able to view all your 1:1s (with leader, team members and colleagues) directly on your calendar.
What do we show at each event?
For each event on this agenda (that is, for each meeting) we show:
-
1:1 title (which follows the title configured on the Qulture.Rocks platform);
-
Link to the 1:1 in the plataform.
Some important characteristics of this synchronization:
-
It is a synchronization called “1-way” and the direction is Qulture → calendar. This means that it is only possible to view the 1:1s in the agenda, but all changes must be made directly on the Qulture.Rocks platform;
-
The sync will show the pending 1:1s, that is, 1:1s not marked as done (both future and past). Past 1:1s that have already been completed will not be shown;
-
Changes made to the calendar will not be reflected in the Qulture.Rocks platform
-
This is a unique link, for all your 1:1s, so just add it once to your calendar;
-
Changes to the Qulture.Rocks platform can take up to a day to be reflected in your calendar. The update frequency depends on each calendar platform and Qulture.Rocks has no control over this;
-
This “Qulture.Rocks 1: 1s calendar” is visible only to the person who added it to their calendar;
-
Since this is a new agenda in your calendar, sync 1:1s does not block your personal agenda. For example: suppose David has a 1:1 with Bel at 2pm; although Davi has synchronized his 1:1s with his calendar, if Fred looks at Davi's schedule at this time, he will see a free time. That's because Fred is looking at Davi's agenda and 1:1s are on Qulture's agenda (remember: these are two different agendas, but visible on the same calendar for Davi). To stop the agenda, Qulture.Rocks would have to have write access to people's calendar, which is very complicated in terms of security policy and data;
-
Synchronizing 1: 1s with your calendar does not invite another person to the event on the calendar. Again, this is a 1:1s preview link; to view the 1:1s in the agenda, both parties must perform the synchronization;
-
Meetings are shown according to the time zone configured on the Qulture.Rocks platform.
ATTENTION: the link is personal, non-transferable and public. This means that anyone with access to the link can view your 1: 1s schedule; so don't share it with anyone! The link needs to be public since the calendar platforms do not log in to our platform.
How does event recurrence work?
Calendar events (Google Calendar and Outlook) can be recurring (that is, events that are repeated over time). Recurrence works like this: every pending meeting, that is, not marked as done (future or past) will be repeated in time, according to the frequency defined for that person.
This means, for example, that if a person has 2 pending meetings with someone and the frequency set is “Every 2 weeks”, that person will see, in his agenda, 2 different events and both recurring in time (with a frequency of 2 weeks).
Remember: it is possible to define different frequencies, for each person with whom you do 1: 1 directly on the Qulture.Rocks platform.
FAQ
-
How do I disable functionality for my company? It's not possible. It is also not possible to disable (or activate) for a subset of your employees.
-
Why do I still see the “Add to calendar” button at each meeting? The button still remains available because some profiles still use this integration. It is important to emphasize that they are completely independent features, with the function “adding to the calendar” a shortcut and not an integration!
