Import for Admins - How to import profile pictures in bulk

This article provides instructions on how to use the bulk photo import spreadsheet.

To perform data import, it is important to request the release of the import screen to the CSM responsible for the account.

There are two ways to add photos to the platform: the first is to do it manually as explained in the article "How to insert or update your profile picture," and the second is through importation.

⚠️ Please note that you need to request your Customer Success Manager (CSM) to enable the import field.

This import feature is useful when you need to update a large number of employees simultaneously, allowing you to save time efficiently.

Where can I find the spreadsheet?

First, you need to obtain the necessary template for the import. This template is a file that contains the information of the employees that will be updated.

  1. Go to the "Organization" button;

  2. Click on "Imports";

  3. In the top right corner, click on "New";

  4. Select the import called "[Company] Profile Photos";

  5. Click on the "Template" button.

How to fill in the template?

Open the template in a spreadsheet editor, such as Microsoft Excel or Google Sheets. Each column in the template corresponds to a specific field.

  • Column A: Should be filled with the email or CPF (Brazilian identification number) of the employee without dashes or dots.

  • Column B: Should be filled with the URL (link) of the photo you want to use.

⚠️ It's important not to make any changes to the header, as this may cause errors during the import. Therefore, we recommend making modifications starting from row 3 and below.

How to import on the Qulture.Rocks platform?

With the spreadsheet filled in with all the required and optional fields, you need to make the Sheets spreadsheet public and editable for everyone.

  1. Click on "Share".

  2. Set the access level to "Anyone with the link".

  3. Set the role to "Editor".

  4. Click on "Done".

⚠️ The link will be available on the same screen to make it easier to copy when needed.

In the import screen, we will paste the link in the indicated field and save it.

If the spreadsheet does not have any errors, when it is completed, the status will appear as "Done" If there is an error, the platform will indicate where it is located.

How to know which error occurred in my import?

The platform displays the errors directly on the Import screen, making it easier to identify issues in the spreadsheet. To fix the errors, you will need to investigate in more detail what needs to be corrected in the spreadsheet. It is recommended to check the error messages provided by the platform and review the corresponding fields in the spreadsheet. Make sure to correct any incorrect or missing information to ensure a successful completion of the import.

  • Errors when filling in the email or CPF: If there are mistakes when entering the email or CPF of the employees, it can result in non-existent or unlocatable employees. It is important to double-check and validate this information before performing the importation.

  • Errors when pasting a non-existent link: If, by mistake, a link that doesn't exist or is invalid is pasted, it can result in location errors. Make sure that the provided link is correct and active to ensure a smooth importation process.

It is crucial to thoroughly review the spreadsheet and correct any identified errors before proceeding with the import. As long as errors exist, no data will be imported into the platform. Please feel free to import as many times as necessary to rectify any issues.

⚠️ If your importation encounters an error, no data will be updated. It is necessary to fix the spreadsheet and import again until the status shows "Complete".
