Contact Management for Qulture.Rocks Communications 😎

Learn how to select who from your company can have direct contact with the Qulture.Rocks team on specific matters 😉💜

1. What is contact management?

The contact management screen allows you to centralize information about people who can be contacted by the Qulture.Rocks team to address various important matters. Additionally, you can communicate updates that occur in the platform and conduct product usage interviews.

 

🟣 Note: To access it, simply click on Organization Profile > Settings > Contacts.

 

2. Who has access to this functionality?

Currently, this functionality is available to people with admin roles in the platform.

 

3. What are the topics covered?

There are four sections of topics:

  • Product Updates Communications

  • Information Security/Legal

  • Finance

  • Integrations/APIs

4. What data needs to be filled out mandatory?

For the system to identify the contact, three specific fields need to be filled out:

  • Employee's name

  • Email

  • Preferred language

🟣 Note: In case there are any changes in data over time, it is extremely important to update it in the platform so that the team can contact the right people.

 

5. Contact permissions

After filling out the mandatory contact information, there are two 'Contact Permissions' options that are automatically enabled by the platform:

  • We can contact employees for product usage interviews.

  • We can inform employees about product updates.

If the admin does not want these two options to remain enabled, they must be manually disabled in the platform.

 

🟣 Note: Contacts related to the other three topics (Information Security/Legal, Finance, and Integrations/APIs) do not depend on the enabling of these two options.

 

6. Important Alignments

🟣 When filling out the data for each contact, it is necessary to click on the 'Save' button located at the bottom of the page because without this action, the system assumes that our team cannot send any communication.

 

🟣 Only the Integrations/APIs section does not require a contact; the other three sections need to be filled with at least one.

 

🟣 If the admin does not update or define the contacts, a reminder will appear whenever the Qulture.Rocks app page is updated in the browser.

 

🟣 To ensure that contacts are up to date, a reminder to update will be sent every 3 months to the admins.
