To perform data import, it is important to request the release of the import screen to the CSM responsible for the account.
There are a few possibilities to perform calibrations in Qulture.Rocks' platform, one of them is the note calibration
Calibration is a step that may or may not be part of your evaluation cycle, whose function is to adjust certain scores that the HR team deems necessary. To learn more about how to use this functionality in the platform, we have an article that explains this very process.
This article provides instructions on how to use the score calibration spreadsheet for importation within the Review product, and aims to clarify possible doubts about its use.
Where can I find the spreadsheet?
With access granted to use the spreadsheet, you can find it on the Imports screen, under the Organization tab. Follow these steps when clicking on the blue "New Import" button:
Go to the "Organization" button;
Click on "Imports";
In the upper right corner, click on "New";
Select the import called "[Review] Calibrations".
Click on the "Template" button.
How to fill in the template?
The spreadsheet consists of 6 columns, indicating what each one represents:
Colaborador (Employee e-mail)
Tipo de calibração (Calibration type)
ID do tipo de calibração (Calibration type ID)
Nota calibrada (Calibrated Note)
Comentário (Comment)
Sobrescrever comentário do líder (Overwrite leader's comment)
Colaborador (Employee e-mail):
It is in this column where we will indicate which employee will have the calibrated grade. If you have more than one grade being calibrated from the same employee, repeat as many lines as necessary for each grade.
Tipo de calibração (Calibration type):
In this column you must inform what type of grade this calibration will be: (i) final average (survey_participation); (ii) topic; or (iii) question.
ID do tipo de calibração (Calibration type ID):
This column is used to indicate to the platform when importing which topic or question we are calibrating.To find out the ID number, you have to go to the Evaluation you are running, Settings -> Topics, and find the number that refers to the calibrated grade. This ID number can be of either the topic or the question:
If it is the final average (survey_participation) that we are calibrating, then this field does not need any number. So the platform understands that we don't have any questions or topics, and will calibrate the final average.
Nota calibrada (Calibrated Note):
This is where we put the calibrated note we want to import. It is important not to enter a note that is not within the previously configured grade scale.
Comentário (Comment):
If you want to upload a comment along with the calibrated grade, you can do so by placing that comment in this column, where the platform will upload that information along with it.
Sobrescrever comentário do líder (Overwrite leader's comment):
This column is used in case you need to upload a comment on top of the leader's comment, than deleting the leader's already registered comment, and replacing it with a new comment.
Both column 5 and 6 are optional and do not have to be filled in.
⚠️🛑 Attention: When you upload this information, you will not be able to reverse the calibrated grade. Make sure that the information filled in, both the notes and the employee, is correct.
How to import on the Qulture.Rocks platform?
With the spreadsheet filled in with all the required and optional fields, you need to make the Sheets spreadsheet public and editable for everyone.
Click on "Share".
Set the access level to "Anyone with the link".
Set the role to "Editor".
Click on "Done".
⚠️ The link will be available on the same screen to make it easier to copy when needed.
In the import screen, we will paste the link in the indicated field
If the spreadsheet does not have any errors, when it is completed, the status will appear as "Done" If there is an error, the platform will indicate where it is located.
How to know which error occurred in my import?
The platform displays the errors directly on the Import screen, making it easier to identify issues in the spreadsheet. To fix the errors, you will need to investigate in more detail what needs to be corrected in the spreadsheet. It is recommended to check the error messages provided by the platform and review the corresponding fields in the spreadsheet. Make sure to correct any incorrect or missing information to ensure a successful completion of the import.
There may be errors in filling out information (wrong email address for a collaborator, or wrong id for a question), or technical errors (email address not found registered in the collaborator database, calibrated score not valid for that review), which need to be investigated and corrected.
Feel free to correct and import as many times as you think necessary until there are no more errors, and the spreadsheet can be successfully imported. Pay attention to check and ensure that the imported information is correct for the review in question.
⚠️ If your importation encounters an error, no data will be updated. It is necessary to fix the spreadsheet and import again until the status shows "Complete".
FAQ
1) I use another type of cloud storage, other than Google. How do I import the file if I don't have the Google Sheets link?
For now we don't have integration with other sites for this kind of action. At the moment, if it is not possible to have this file on google sheets, you will need to ask the chat team to do this importation for you. It is only necessary to send the complete file and inform for which review you would like to import these questions.
2) I couldn't find the review in the list of review when importing. What happened?
As we mentioned earlier, in order for you to be able to perform imports for an evaluation, it must be visible to everyone. Therefore, the button should be as shown below.
