How to test the general functions of Performance Review (before launching it!)

After configuring the review, it is essential to perform tests on the settings and the questionnaire.

How to perform a comprehensive and effective test

To conduct a comprehensive and effective test, it is important to keep in mind that the main objective of testing the review is to ensure that all the configured steps, questions, and tags appear correctly as expected, and gather participants' feedback on the form, rating scales, concept scales, individual reports, n-box, and/or calibration.

Step 1: Preview the forms

The first step in conducting this testing is to include some participants who will be able to respond to the review and test the nomination and validation steps. Test the questionnaire and see which questions are appearing for these participants. Also, test the rating labels.

It is important to pay attention if there are different types of questions for different job positions and/or tags. If this is the case, to test these different views, it is necessary to include participants who belong to these segments and test their forms.

⚠️ Attention: The participants added will not have access to the review if it is not active. 😉


If you want a collaborator to test the nomination and validation stage, or to test the form on their own profile, then we should activate the Review and set a valid answer period for collecting responses in that stage.

Step 2: Testing score calibration

After collecting some responses in this testing stage, it is possible to test how the score calibration works, both for averages and for scores of each topic and question.


Step 3: Testing n-Box

If you want to go deeper and test the n-Box stages and its calibration, we can create a new box and test which topics will be reviewed in each axis, their weights, and how this will be done within the Box. With the box created, we can test how the calibration of employees within the box works.

To test the calibration in the box, it is necessary to schedule a specific calibration meeting, as the platform understands that this type of calibration requires a specific time for discussions and exchanges. With the meeting scheduled, we can then make the movement of these employees.

Step 4: Test Evolution Profile

During the calibration process, you can rely on the Evolution Profile to make coherent and fact-based decisions about the future of employees in your organization.

Therefore, remember to configure it in Organization > Employee Fields and Profile > Evolution Profile. If you don't know how to do this, refer to this article.

After configuring it, access a past performance review and:

  1. Access "Team Results" > Click on a score of a specific employee to access the Calibration Dashboard > Click on "Open Profile" > Access the "Evolution Profile"

  2. Access "Boxes" > Click on a created nBox > Access a conducted "Calibration Meeting" > Click on the photo or name of a specific employee / Search for the employee's name in the search bar > Click on "Open Profile" > Access the "Evolution Profile"

Benefits

A well-executed test has the power to assess:

  • Form questions

  • Specific questions based on tags or relationships

  • Rating scales

  • Calculation rules

  • Relationship weights

  • Individual reports

  • n-Box functionality

After building the review, set aside a post-test period to gather feedback and make necessary adjustments to the evaluation cycle. 🧐

Best Practices

To ensure effective testing of the general functions of your Review, we recommend the following best practices:

  • Allocate 7 to 10 days for testing, depending on the complexity of your review.

  • Ensure that the review is in "draft mode" to allow modifications to the settings, while enabling the response period for testing.

  • Include administrators, business partners (BPs), or relevant employees as test participants who can view the review and provide feedback for potential changes.

  • Include all types of relationships used in your review in the testing phase.

  • Ensure that tags are assigned to participants during the testing period to correctly visualize the forms.

  • For n-Box calibration, define the box settings after launching the test to facilitate calibration visualization.

  • For rating calibration, ensure that the "team results" screen is comprehensible for all user profiles to facilitate rating calibration.

  • Define the settings for the "Individual Report" to preview how the final results will be presented to employees during testing.

  • Ensure that the results in the "Profile of Evolution" provide key insights into the review.

By following these best practices, you can effectively test the general functions of your Review and make necessary adjustments for a successful implementation.
