How do set a different answer period for a specific participants group in a Review

In this article we’ll show you how to set up a specific response period for each form in the assessment, if necessary.

We understand that in certain situations, it is necessary for certain individuals to respond to reviews before or after the designated period for the entire company. With that in mind, in Qulture.Rocks, as an administrator, you have the option to choose a specific response deadline for each form!

✏️ In this article, we will show you two ways to configure custom dates and times to meet the individual response needs of participants

✅ Individually

1. Access the assessment settings (⚙️ icon)

or by clicking Settings at the Review's home screen;

2. In the left sidebar of the screen, select Participants;

3. Search for the reviews that should have a different date and time than the one defined in the Schedule, and click on the three dots;

4. Select “Add period”;

5. Choose the start and end dates and times and click “Save”.


In bulk

1. Access the Review Settings (⚙️ icon);

2. In the left sidebar of the screen, click Participants;

3. In the upper right corner of the screen, click on “More actions”:

4. Select “Export participants” to obtain the e-mails of the participants registered as evaluators and evaluated in the evaluation.

5. Then select “Import Participants” and download the Import Template:

6. With the spreadsheet open, include two columns to the right of the reviewer's email column with the headings in the first two rows of the header: start_at and end_at

Dates should be filled in these columns as per the image below, in the format YYYY-MM-DD HH:MM (Ex.: 2020-03-18 14:00):

⚠️ Attention: to force this format in Excel, just select the entire columns that you added: "start_at" and "end_at" and set them to be in text format. 😉

7. Save the Excel file and in the platform, under the Participants tab, select "Import Participants";

8. Drag the spreadsheet into the window that opens and click "Import":

🔴 Important notes:

  • The specific response period per form overrides the dates determined for the entire company,so once you have done this process, changing the response period under Schedule will no longer be effective;;

  • If you need to use this resource after the end date determined for the company, make sure that the individual report has not yet been released to the appraised, because with the reopening of the form the final average of the employee may be impacted.
