Introduction

The Performance Review product has a detailed level of permissions that considers two variants:

  • Permissions of actions [WHAT] and;

  • Restriction of actions to an acting group (target audience) [WHO].

Thus, the access of Review Admin gives the permission to perform some actions (detailed below) and the access of BP (Business Partner) gives the same possibilities as the access of Admin, but restricted to a target audience.

In summary: the role we call BP, technically has the same meaning as an admin, with the difference that it is restricted to a subset of people in the company.

How to configure permissions?

Just follow the following steps:

Within the Permissions screen, as shown above, the "Admin of Review" space is divided into 2 subsections:

  • Box editor;

  • Review editor;

Since for each of the subsections, it is possible to restrict access to the target audience, if the ideal is a BP profile. So, let's go to the detailed explanation of each subsection! 😁

Box editor

The profile that has Box editor permission will be able to:

✅ Create meeting

✅ Calibrate position in 9box

✅ Create and delete boxes

✏️Note: When selecting the target audience of business partner (BP) within Box the actions Box editors are restricted to only their operating group.

Example: Fernanda is a Sales BP for a company and can perform the above actions only for her group: Sales.

Review editor

this subsection, it is possible to:

✅ Validations: validate / reject indications; send step reminders.

✅ Monitor Team: view statistics on responses in general, and in detail by reviewer and by reviewee; send invitations and reminders to participate in the assessment; download the monitoring report.

✅ Team Results: view the notes; individual reports (if available), extract individual notes.

✅ Individual reports: release individual reports for employees.

✅ Calibrations: perform employee notes calibration.

In the same line of reasoning, it is possible to define the target audience as "Entire company" or as "BP". It is also possible to define the permissions of this profile, being possible to:

  • View the responses received by the evaluated;

  • Identify evaluators (non-anonymous access).

✏️Note: We call it “Anonymous BP” when this last option is inactive.

Let's see this example:

In this example, the person has a Sales BP profile and can perform actions: create, delete, edit date, send pending individual forms, view responses and reopen forms of any participant whose evaluator and appraiser are in the group of Sales performance.

⚠️Attention: If you wish that neither the admins nor the BPs could identify the reviewers, in other words, an anonymous access, it is possible ✔️

Anonymous BP

The Qulture.Rocks platform allows the configuration of a profile that will view responses anonymously. In other words, without being able to identify which reviewer Y gave a specific answer about the reviewee X.

For reasons of consistency in anonymity, the platform will present information received by the evaluated people of the acting group from a minimum limit; which by default is 3 reviews received. Less than that, the platform does not present any information, so as not to put anonymity at risk.

⚠️ It's important to consider a few aspects:

  • This number of 3 assessments received disregards the person's self-assessment and BP's own assessment related to that person;

  • This limit is customizable by company, but we recommend a minimum number of 3 assessments, as less than that can put anonymity at risk.

No. Only general platform administrators.

2. Can an Admin/ BP Review edit the settings of a cycle?

No. Only general platform administrators.

3. Can an Admin/ BP Review change questions/ topics in a cycle?

No. Only general platform administrators.

4. Can an Admin/ BP of a review with anonymity restriction release the individual report or view its content?

This profile is only able to release the individual report. As the anonymity of the individual report does not depend on the anonymity of the cycle, the safest way is to block anonymous BPs from accessing this file.
