Imports for admins - How to import teams in bulk

This article provides information on how to fill out and import the team spreadsheet.

Updated over a week ago

To perform data import, it is important to request the release of the import screen to the CSM responsible for the account.

When there is a need to create or update teams in a simpler way without involving other employee data, it can be done through import.

Importing is an efficient way to create or update teams, especially when there is no need to modify or change other employee data. By using an import file, you can provide only the relevant information for creating or updating teams without manually entering each detail into the system. This helps streamline the process and reduce the time required to manage team information.

Where can I find the spreadsheet?

With access granted to use the spreadsheet, you can find it on the Imports screen, under the Organization tab. Follow these steps when clicking on the blue "New Import" button:

  1. Go to the "Organization" button;

  2. Click on "Imports";

  3. In the top right corner, click on "New";

  4. Select the import called "[COMPANY] Segments";

  5. Click on the "Template" button.

How to fill in the template?

The spreadsheet consists of 3 columns, which are as follows:

  • Column A: Employee's email or CPF (Brazilian ID number), if CPF, it should be without dashes or dots.

  • Column B: Is the employee a team leader? It should be answered with "yes" or "no".

  • Column C: Team name.

    • If the team already exists, it will be updated with the new members without removing the existing ones.

    • If the team does not exist, it will be created.

🛑 Each row corresponds to a person in a team, so if an employee is part of multiple teams, their email should be added in the corresponding rows for each of the teams.

How to import on the Qulture.Rocks platform?

With the spreadsheet filled in with all the required and optional fields, you need to make the Sheets spreadsheet public and editable for everyone.

  1. Click on "Share".

  2. Set the access level to "Anyone with the link".

  3. Set the role to "Editor".

  4. Click on "Done".

⚠️ The link will be available on the same screen to make it easier to copy when needed.

In the import screen, we will paste the link in the indicated field and save it.

If the spreadsheet does not have any errors, when it is completed, the status will appear as "Done" If there is an error, the platform will indicate where it is located.

How to know which error occurred in my import?

The platform displays the errors directly on the Import screen, making it easier to identify issues in the spreadsheet. To fix the errors, you will need to investigate in more detail what needs to be corrected in the spreadsheet. It is recommended to check the error messages provided by the platform and review the corresponding fields in the spreadsheet. Make sure to correct any incorrect or missing information to ensure a successful completion of the import.

In the given example, the email provided was not found. This could be due to an incorrect email or the email not being added to the platform yet.

It is crucial to thoroughly review the spreadsheet and correct any identified errors before proceeding with the import. If errors persist, the data will not be imported into the platform. Feel free to import the data multiple times until all issues are resolved.

⚠️ If your importation encounters an error, no data will be updated. It is necessary to fix the spreadsheet and import again until the status shows "Complete".
