How to define the Termination Reason of an employee

In this article we will explain how to register the termination reason, whether voluntary or involuntary.

How can I do it?

You can set the termination in three ways in the platform:

  • By dismiss form

  • By user imports

  • By employee profile

Generally speaking, some rules are common:

  1. You can only register one termination reason per employee;

  2. There is a pre-defined list with both voluntary and involuntary termination reasons, and it is not possible to customize any of them or add new reasons on the platform, for now.

Termations reasons for the Involuntary type of dismiss:

Low performance

Project time

Staff reduction

Non adherence to the company culture and values

Behaviour problems

Violation of company policies

Illegal behaviour

Insubordination

Information secutiry problems

Damage to company property

Contract expiration

This information appears on the employee's profile and is visible to leaders and Admin, i.e. peers and the person him/herself cannot see this information. You can change the visibility of the field if you need to. Just do it through the settings under "Employee Fields".

In practice

Define reason for dismissal form: On the dismissal form, there is a section that allows you to choose the reason why a certain employee is being dismissed. This information is not mandatory, but it is important to be aware that the absence of this data will impact the Turnover Dashboard.

Define reason by User Imports: To import termination reasons, you must follow the 3 rules described above and fill in the "termination_cause" column.

  • It is important to remember to dismiss the employee when filling in the termination reason data.

  • It is important to fill in the termination reason corresponding to the correct type of dismiss.

  • Example: If the type of termination is voluntary, you should fill in only the reasons for termination that relate to this type. That is:

    Termination_reason = voluntary

    Termination_cause = an option from the list of voluntary reasons

  • ⚠️ If you fill in a termination reason that does not match the type of dismiss, the importer will display an error.

  • The options available are described in the import template sheet. An example is shown below:

Define reason by employee profile: In the "career" section of the profile, you will find an options type field called Termination Reason. Through it, you can select, from a list, a termination reason among those listed above.

⚠️ It is important to remember to dismiss the employee when filling in the termination reason data! Otherwise, they will be an employee with the dismissal date, reason and type of dismissal information, but still active on Qulture.Rocks.

⚠️ Your company needs to check whether there are already employee fields with the same name "Termination Rason". If so, it is important to know that the Turnover Dashboard pulls only the information registered in the default field of the platform and not in the customizable field.
