How to give temporary leave of absence or dismiss employees

See how to differentiate a collaborator who is on leave or dismissed from the organization on the Qulture.Rocks platform

The new On Leave and Dismissed flow aims to differentiate what is a definitive absence and what is a temporary leave of an employee.

🟣 Dismissed: The employee will be removed from the workforce permanently, ceasing to perform their activities in the organization. Permanent departure requires two important pieces of information to be filled in:

  • Termination date

  • Termination type

🟣 On leave: The employee is still part of the organization's workforce, however, he/she will need to be absent from his/her activities for a long period of time (examples: maternity leave, medical leave, etc).

⚠️ It is worth mentioning that giving temporary leave of absence or dismissing employees has the same consequences for the user on the platform:

✅ How to perform this action manually?

To give temporary leave of absence or dismiss an employee, this is the path:

  1. Go to 'Organization';

  2. It will take you directly to the 'Employees' section;

  3. Search for the person to be modified;

  4. Click on 'Active'.

✅ How to perform this action in bulk via spreadsheet?

The information that is filled while disconnecting or dismissing an employee can also be filled in by importing and exporting employees via the columns:

  • Active

  • Termination_Date

  • Termination_Reason

Give temporary leave of absence to an employee:

  1. Access the Organization Profile.

  2. On the left sidebar, click "Users".

  3. Click the "Export" button, and then click "All employees".

  4. After downloading the export spreadsheet you only need to copy the employees' main data such as Name, E-mail, and Active into the import template spreadsheet.

  5. After that you will have to change "TRUE" to "False" in the "Active" column of the import template spreadsheet.

  6. Done, now just save and import into the platform following the import instructions on the page.

To dismiss employees:

  1. Access the Organization Profile.

  2. In the left sidebar, click on "Users".

  3. Click the "Export" button, and then click "All employees".

  4. After downloading the export spreadsheet you only need to copy the employees' main data such as Name, Email, and Active into the import template spreadsheet.

  5. After that you have to change "TRUE" to "False" in the "Active" column of the import template.

  6. And last, add the termination date in the "Termination_date" column and put whether it was a "voluntary" or "involuntary" termination in the "Termination_reason" column.

  7. There you go, now just save and import into the platform following the import instructions on the page.

🔴 Important: In both cases, we can reactivate these employees again.

It's done! By performing this action, it will be possible to see the difference between on leave and dismissed employees within the organization. Simple, huh? :)

FAQ

1. How can I differentiate if a person is on leave or has been terminated in the platform?

A: Terminated employees have a termination date, while those on leave do not.

With the new model, all inactive individuals automatically changed their status to 'on leave,' when ideally they should be considered 'terminated.' How can we accurately reflect the real status of these employees in the platform?

A: As per the new rule, 'terminated' individuals have a termination date, while those on leave do not. Therefore, anyone without a termination date will display the 'on leave' status. To resolve this situation, simply add the termination date, and the status will change to 'terminated.'

What should be done to ensure that the activity status of a profile is correctly reflected in Qulture.Rocks when we have integration with another site, such as Convenia?

A: To have the correct status in Qulture.Rocks, it is necessary to integrate the 'termination_date' field from Qulture with Convenia.

I need to delete a user instead of deactivating them. Is this possible?

A: Currently, it is not possible to delete users from the platform as it may result in data inconsistencies in reports and disrupt the proper functioning of the platform.
