Monitoring the participation of employees in the surveys product is essential as it ensures that everyone is contributing their perceptions and suggestions for improving the company's climate.
👉 Additionally, it's important to note that you need to have at least 3 responses in each grouping to perform proper analysis of the answers (due to the anonymity rule, groups with fewer than 3 responses are not displayed in the heat map).
In this article, we will demonstrate how to monitor response rates and also how to send invitations to those who have not yet responded. Let's get started!
🟪 Step-by-step guide for sending invitations
Access the surveys product from the side panel of the platform:
Choose the survey you want to analyze. 👁️ On the same screen, you can already see the response rate (%) of the survey.
After selecting one of the surveys, you will be redirected to the main page, which presents the following information:
Survey audience (in the example, the survey is targeted at the entire company).
(Absolute number and percentage of respondents.
Start and end dates of the response period.
On the right side graph, we have the overall company average and the percentage of positive, neutral, and negative responses.
🟪 Recommendations and Best Practices for this type of analysis:
Don't wait until the last day to monitor the response rate. It's important to have continuous monitoring throughout the survey period. This allows for different actions to be taken to engage people in responding if necessary, avoiding the need to extend the closing date.
Clearly communicate internally that survey responses are always anonymous. This increases the likelihood of employees answering the questions truthfully.
Since the survey is confidential, it's important to avoid asking the question "Confirm if you have already responded to the survey" in internal communications about response rates. While the product has a limit of 3 people to show results per group, this may make people suspicious about confidentiality. It is recommended to request data after the person has read the communication, not after they have responded to the survey.
Ensure that all employees are aware of the survey closing date, as the survey link will no longer be available and it will no longer be possible to respond after the closing date.
Engage employees to help achieve high survey participation! Having "ambassadors," especially leaders, in the different areas and asking for their help in reminding people during existing team rituals can greatly reinforce the message that responding to the survey is important and a priority. For example, leaders can mention the survey during individual priority discussions with their team members.

💡 Tip: If you need to track the response rates by area, department, or leadership, you can request this information through the chat feature. This will allow you to see the number of people who have already submitted their responses and how many are still pending. It will help provide a clear overview of the survey response rates. Make sure to take advantage of this feature!
