Permissions and platform impacts on Approval Workflow

In OKR cycles where the Approval Workflow is active, Objectives and Projects can appear in two modes: draft and approved. Furthermore, in each of these modes different permissions and functionalities are released. In this article we will talk about the impacts of each mode and the permissions and features available in the different cases.

Platform impacts in "draft" and "approved" modes

Draft mode

OKRs and projects in draft mode are the ones in which cycle contains Approval Workflow feature enabled and have not been approved yet.

OKRs in "draft" mode:

  • Don't count towards the cycle average (whether an OKR for a person, team or company);

  • Don't appear on performance reviews;

  • Can be edited by the responsible person if they are in “Pending Approval” or “Pending Review”.

Approved mode

OKRs and projects in approved mode are the ones that are already been approved within a cycle that has the Workflow feature enabled.

OKRs in "approved" mode:

  • Count for cycle average;

  • Appear in Performance Reviews;

  • Cannot be deleted by the person responsible;

  • Can no longer be edited by responsible person: only direct leader of responsible person and admin can edit an approved OKR. The responsible person can only update the value of the key result indicator.

✏️Note: if the Allow editing feature is enabled, the responsible person will be able to edit the objective information, which will remain with the approved status.


Permissions and features

Today there are different possible statuses for OKRs and projects within the Approval Workflow: OKR in draft mode with pending submission, OKR in draft mode with pending review, OKR in draft mode with pending approval, approved OKR locked for editing, and OKR approved released for editing.

⚠️ Attention: when Workflow is active in the cycle, the option to lock the objective will not be available, it does not appear to anyone.

1. OKR in draft mode with submission pending

Permissions work normally as indicated in the FAQ | OKRs cycle permissions.

2. OKR in draft mode with review pending

3. OKR in draft mode pending approval:

The functionalities below are only available to the leader of the person responsible for the objective or admin:

Objectives

  • Edit;

  • Delete;

  • Possibility to add a new Key Result.

Key results

  • Edit;

  • Delete;

  • Pause;

  • Manage contributors;

  • Option to "Plan partial goals";

  • Field to align objective does not appear on strategy map

4. OKR approved locked for editing

The functionalities below are only available to the leader of the person responsible for the objective or admin profile:

Objective:

  • Edit;

  • Delete;

  • Possibility to add a new Key Result.

Key results

  • Edit;

  • Delete;

  • Pause;

  • Manage contributors;

  • Option to "Plan partial goals";

  • Field to align objective does not appear on strategy map

5. OKR approved enabled for editing

Permissions work normally, as indicated in the FAQ | OKRs cycle permissions. However, the option to delete the objective will not be available.

⚠️ Attention: For the leader of the person responsible for the objective, general admin or admin of OKRs the option “Close edition” will also be available.
