Admin profiles manage and configure the Qulture.Rocks platform and all its products

In Qulture.Rocks, there are different types of administration profiles, each with its specific responsibilities and privileges. These profiles are designed to manage and configure the platform, ensuring a personalized environment that meets the company's needs.

👉 In this article, we will explore the available administration profiles in Qulture.Rocks and their assigned tasks. Understanding these profiles is essential for efficiently distributing administration tasks and ensuring the proper functioning of the platform.

✅General Admin

This is the all-seeing and all-capable profile within your company's environment. It can create, delete, and also access content registered in the platform and related to all the company's employees.

Knowing this, it is important that the definition of this access takes into consideration the best balance between autonomy, control, and information security. And so, we recommend that, at most, two people have admin profiles.

🟣 General admin can:

  • Create/delete an assessment

  • Enter and edit company values/skills

  • Change hierarchy

  • Add new employees to the platform

  • Create and change OKR cycles

🟣General Admin view:

  • The content of all company appraisals

  • The content of all company feedbacks

  • The content and status of all company goals

It is common that in some companies different people need to have different product admin access. For example: in my company {{A}}, employee Ana needs to be admin of OKRs and employee Maria needs to be admin of PDI.

For this, some of our products have specific admin functionality. We have:

  1. Organization Admin

  2. Segment Admin

  3. OKR Admin

  4. Performance Appraisal Admin* / Review Admin

    1. Business Partner (BP) within Performance Review

  5. Box Admin

    1. Business partner (BP) within Box

  6. PDI Admin

    1. Business partner (BP) within PDI

  7. Feedbacks/Elog Admin

    1. Business partner (BP) within Feedbacks/Praises

  8. Admin of 1:1/Leadership

    1. Business partner (BP) within 1:1/Leadership

✅ Organization Admin

The following are some permissions of this profile:

  • Changing employee data manually and via import (Name, Email, Password, Leader, etc);

  • Inclusion/Exclusion of tags [⚠️ Possible impact on evaluations in progress];

  • Inclusion/Exclusion of Teams and Team Members;

  • Inclusion/Exclusion of Skills and Values [⚠️ Impact on Feedbacks product].

✏️ Note: Organization Admin cannot give access permissions to other modules (give admin permission, any admin, to other contributors)

✅ Segment Admin

The following are some permissions of this profile:

  • Create, change and delete segments in 9box;

  • Create, change and delete segments in evaluations in the "Team Results" part.

Remember that segments work as 'filters', that is, they are used to segment views. Example: by applying a segment in 9box, you will only be able to see employees from a certain area.

✅ OKR Admin

The following are some permissions of this profile:

  • Leave a cycle visible or not;

  • Choose what the current cycle should be;

  • Choose the start and end date of the cycle;

  • Allow editing/creation of goals and key-results;

  • Create a new cycle;

  • View company OKRs and private OKRs.

✅ Review Admin

  • Send referral invitations (to appraisees);

  • Send reminders for validations (to leaders);

  • Track the appraisal process adherence via Qulture.Rocks;

  • Follow up the adherence of the evaluation process via Excel;

  • Extract averages of questions, topics and final average per person evaluated;

  • Send invitations/reminders to fill out the forms;

  • Perform the release of the individual report to the public.

Business partner (BP) within Evaluation

All Performance Appraisal Admin actions (except follow up the appraisal process adherence via Excel), but restricted to your performance group only. For example, a company's Sales BP may perform the above actions only for their group.

✅ Box Admin

The following are some permissions of this profile:

  • Create meeting;

  • Calibrate 9box position;

  • Create and delete boxes.

Business partner (BP) within Box

All actions of Box Admin, but restricted to only its action group. For example, a company's Sales BP can perform the above actions only for his group.

✅ IDP Admin

The following are some permissions of this profile:

  • Create, change, and delete IDP cycles

  • View, comment on, and approve IDPs of people in the company

  • Extract the IDP report for follow-up

Business partner (BP) within IDP

  • View, comment on and approve POIs of people in your business group;

  • Extract the IDP report only from the people in your practice group for follow-up.

  • For example, a company's Sales BP can perform the above actions for their Sales group only.

✅ Feedback/Praises Admin

Under Feedbacks/Praises:

There is a permission level for this profile which is:

  1. Allow the person to be able to access detailed data;

  2. Allow the person to access consolidated data only.

Case 1 - Detailed Data Access:

Admin can:

  • [Feedback] Have access to "Reports" within Analytics.Rocks. These are: (i) feedbacks content, (ii) feedbacks requests, (iii) feedbacks ranking;

  • [Feedback] View the content of the feedbacks exchanged in "Activities" of "Your Team";

  • [Feedback] Deleting a feedback;

  • [Feedback] View the consolidated information inside "Team Dashboard" of "Your Team";

  • [Feedback] Extract the complete report of the activities of employees in "Team Dashboard";

  • [Praise] Extract the report with the detail of exchanged praise.

Business partner (BP) can:

  • [Feedback] Have access to "Reports" within Analytics.Rocks. Only: (i) feedback content (only feedbacks received by your practice group).

  • Otherwise, all the same actions as the admin profile, but restricted by the "feedbacks received by the performance group" rule. For example: delete a feedback received by my performance group.

Case 2 - Access to consolidated data:

Admin can:

  • [Feedback] Extract the full report of employee activities in "Team Dashboard"

Business partner (BP) can:

  • [Feedback] Extract the full report of employee activities in "Team Dashboard" for their performance group;

✅ 1:1 Admin/Leadership

The following are some permissions of this profile:

  • Access the "Analytics.Rocks" tab: sentiment pulse, sentiment exports and priorities.

  • View "Sentiment Pulse Benchmark" information

Business partner (BP) within 1:1/Leadership

  • All 1:1 Admin/Leadership actions, but restricted to only your practice group;

  • except viewing the "Sentiment Pulse Benchmark".
