How to allow employees access to the Qulture.Rocks platform?

👉 The Qulture.Rocks platform is a powerful tool for storing and managing employee data in your company. While it is possible to manually add each employee to the platform, when there is a need to add a large number of people, it is highly recommended to do a bulk import using a template spreadsheet.

By following the correct steps to register new employees in the Qulture.Rocks platform, you can save time and ensure that all team members have proper access from the beginning.

How do I register my employees?

Currently, there are three methods available to register your employees in the Qulture.Rocks platform:

🟣 Manual Inclusion: This method is explained in detail in this article. It is suitable when you need to add only a few employees individually.

🟣 Integration API: This method is also covered in this article. It is recommended when you want to automate the employee registration process by integrating the Qulture.Rocks platform with other HR management systems.

🟣 Import Inclusion: We recommend this method if you need to register a large number of employees with specific information, such as hire dates. Follow the steps below to efficiently import the employees:

✅ 1st Step: Access the import page.

To do this, go to the "Organization" tab in the Qulture.Rocks platform. Then, click on the "Employees" option. On the new page, you will find the "Add Employee" option. Click on that option and select "Via Spreadsheet".

✅ 2nd Step: Download the import template.

Within the import page, click on "Import Template" and download the standard import template.


✅ 3rd Step: Fill in the mandatory information.

Fill in the mandatory information. To ensure a successful import, you need to provide the following information:

a) Collaborator's name: Enter the full name of the collaborator being registered.

b) Collaborator's email: Provide the valid email address of the collaborator.

c) Leader's email: Provide the email address of the collaborator's leader, if there is a hierarchical relationship. If the collaborator does not have an assigned leader, this field can be left blank.

d) Active status: Enter "true" to include the collaborator in the system. Use "false" to mass deactivate collaborators, if necessary.

⚠️ In addition to the mandatory information, you can also fill in other employee registration data. To do so, please pay attention to the instructions regarding the required formats, which are described on the same page where you downloaded the import template.

⭐ Tip: It is possible to create new registration fields known as custom fields:

✅ 4th Step: Import the filled template spreadsheet

After correctly filling out the template spreadsheet with the employee information, return to the Qulture.Rocks platform and request the import of the filled file into the system. Follow the instructions provided on the platform to select the file and start the import process.

After initiating the import, you will be redirected to an import loading page. The Qulture.Rocks platform will not automatically update the import status. To track the progress, you will need to click on the following symbol to receive updates on the import status.

In the example, the "CPF" column for the collaborator in row 1 after the header is not filled in.

⚠️ It is important to note that including collaborators in the platform, whether through manual registration or import, does not automatically grant them access. After inclusion, it is necessary to send a first access invitation to the collaborators so that they can create their accounts and gain access to the Qulture.Rocks platform.
