How to create or edit an OKR cycle

🔴 Attention: Only admin or OKR admin have the permission to create/edit an OKR cycle.

👉 In this article, you will learn how to configure and edit OKR cycles in the Qulture.Rocks platform. Take full control over permissions and customize the goal-setting process to better meet the needs of your team and organization.

🟣 Creating a New Cycle

1. In the navigation bar, click on the "OKRs" icon. Your company may use a different name for this module, so always follow the target icon.

In the example below, it is called "Goals".

2. On the right corner of the screen, click "New cycle".
3. Fill in with the information and select each permission. (Detailed permission FAQ)
4. This cycle is automatically set as "Current cycle" and it's already available for everyone!

Good to know: OKRs edition are available only when the start date is today or in the past.

🟣 Editing an existing Cycle

  1. click on the OKR icon.

  2. On the right corner of the screen, click on more options and then "Configure Cycles".

3. On the right side of the cycle name, click on edit icon (pencil).
4. Don't forget to hit "Save" after editing what you need.

🟣 Objectives

  • Allow creating objectives: Allows any user to create individual Objectives or Projects in the platform (for themselves or others) and allows team leaders to create Objectives and Projects for their teams. Objectives and Projects for the company can only be created by administrators.

  • Allow editing objectives: Allows the owners of Objectives to edit them. Leaders can edit the individual Objectives and Projects of their direct reports, and team leaders can edit Objectives and Projects of their team.

  • Allow creating individual objectives only: Disables the creation of Objectives and Projects for teams and the company by users.

  • Allow objectives to only be self-assigned or assigned to direct reports: At the time of creating Objectives and Projects, it will only be possible to assign a responsible person who is either oneself or a direct report. This prevents a person from creating an Objective or Project for someone else to be responsible, unless they are a direct report.

  • Enable objectives foundation: Enables new description fields for Objectives and Projects to provide better foundation (success vision, pre-mortem, alignment with strategy, and interdependencies). For more information, click here.

  • Force Objectives to be private: Removes the option of public or private for Objectives and Projects, and creates them as private by default. This does not apply to already created Objectives and Projects.

🟣 Key Results

  • Allow creating key result: Allows the creation of individual Key Results or Deliverables in your own Objective or in the Objective of your direct report. Team leaders can create Key Results and Deliverables in the Objectives and Projects of their teams. Key Results for the company can only be created by administrators.

  • Allow editing key result: Allows the owners of Objectives and/or Key Results to edit the Key Results. Leaders can edit the individual Key Results and Deliverables of their direct reports, and team leaders can edit Key Results and Deliverables of their team.

  • Allow deleting key result progress updates: Allows users to delete progress updates made on Key Results for which they are responsible or contributors. This is used in case of an incorrectly made update.

  • Custom Scoring: You can enable or disable Manual Scoring on this page (click here to learn more about it).

  • Partial Goals: Enables the use of partial goals in measurable Key Results. (Click here to learn more about partial goals).

  • Scales in Key Results: You can enable or disable scales in Key Results on this page, keeping both, only one, or none (click here to learn more about it).

🟣 Contributions

  • Contributions: You can enable or disable different permissions for contributors (learn more about contributors here).

  • Team Members: By default, only team leaders can create and edit Objectives/Projects and Key Results/Deliverables for the team. You can allow any team member to create or edit for this team in these settings.

  • Create key result contributions for all contributors of an objective: Ensures that a contributor of a Key Result of an Objective is a contributor for all Key Results that the Objective has (learn more about it here).

🟣 Approval Workflow

Enable Objective Planning Workflow: Activates the Objective approval workflow functionality between leaders and direct reports during Objective creation. You can learn more about the approval workflow here.

Important: Once enabled, it is not possible to disable the approval workflow, so it is recommended to create a dedicated cycle to test this feature.

Important: The creation and editing of Objectives and Key Results is only possible if the end date of the cycle is the same as or later than today's date.
